Simpro data feed, made easy.
Supplier invoices onto the purchase order and the job they were bought for. Work orders into jobs. Any layout, no feed to build, and a person approves each one before it's written.
Invoices and work orders · Allocated to the right job · A person approves each one
Four steps, nothing to set up.
- 01
Send it in
Forward a supplier's invoice or a customer's work order to your own Data Feed AI address, or give suppliers the address so invoices go straight there. Each PDF or photo attached becomes its own document. You can also upload from your Leadout account, up to 20 files at a time.
- 02
Read
Open it and press Read it. About half a minute later, everything on the page is pulled out: supplier, invoice number, purchase order, every line, freight, GST and totals.
- 03
Check
It's matched against your live Simpro, and anything that doesn't line up is flagged in red or amber before you approve.
- 04
Approve
Type your name and approve. It goes into Simpro, with the PDF attached.
Nothing goes into Simpro until a person approves it, under their own name.
The fiddly part of a receipt, done for you.
It finds the purchase order, matches each line and enters the receipt at the invoice's prices, the way your office would.
Finds the purchase order
By the PO number on the invoice, the supplier's reference, or the supplier's open order on the job. A PO raised after the invoice isn't used.
Matches every line
By part number, the supplier's own part number, or the description.
Adds what's missing
Lines the tech bought at the counter go onto the PO first, and parts that aren't in your catalog become new catalog items.
No PO? Makes one
Type the job number and it makes the purchase order, then the receipt.
Rolls and packs
Cable priced per 100 meters, or ties sold by the pack, are counted in your catalog item's own unit.
Back orders
A line with nothing supplied is left off the receipt.
On the job it was bought for
Allocate the purchase order to its job, and each line goes to that job's cost center. Stock goes to your company's default.
The invoice's exact total
Freight goes on, and the invoice total is matched to the cent.
Quotes and work orders, just as easy.
Supplier quotes and order confirmations
These become purchase orders on the job, line by line.
Customer work orders
From property managers, strata managers and builders, converted to a quote or a job, your choice, with their order number on it. It finds the customer and the site, and puts the contacts, access notes and any not-to-exceed limit in the private notes.
Photos too
A clear photo of the paperwork works as well as a PDF.

Easy, but never unchecked.
It flags what doesn't add up, so approving takes a glance, not a recount.
The sums
The lines don't add up to the subtotal, or the GST and total don't match.
The prices
A price is more than 2% off the PO's.
The quantities
More was invoiced than ordered.
Already in Simpro
The invoice is already receipted in Simpro, or approved from another email.
A shared reference
The purchase order was found only by a reference the supplier puts on every order.
Packs and rolls
A price looks like a pack or a roll, not a single item.
New customers
The customer on a work order isn't in your Simpro yet.
When a match is unclear, it writes nothing and a person decides.
No feed to build for each supplier.
Simpro's own Data Feed add-on works from rules: in Simpro's help guide, each source gets its own feed, and a supplier with a different PDF layout needs another one, set up with Simpro's team. Data Feed AI reads whatever arrives, and a person approves each document before it's written.
| Simpro's Data Feed add-on | Data Feed AI | |
|---|---|---|
| Set-up | A feed per source and layout, set up with Simpro's team | None. Any supplier's layout from the first invoice |
| How documents arrive | Emails forwarded to it | Emailed to your own address, forwarded, or uploaded |
| Before it's written | The feed's rules decide | A person checks the flags and approves |
| Made by | Simpro | Leadout. Not made or endorsed by Simpro |
Already have feeds you like? Keep them. Data Feed AI takes the paperwork they don't cover.
Easy to start. Easy to stop.
Your own API key
Made in your Simpro, kept sealed, and turned off by you at any time.
Approved, never automatic
Every document waits for a named person.
Never deletes
It adds and updates. It never deletes anything in Simpro.
Every write logged
Which record, when, and who approved it.

Your documents stay yours
The original stays with you in Leadout, and it's attached to the PO in Simpro.
$20 a month for 200 pages.
What counts as a page
A page of a PDF, and a photo counts as one. A two-page invoice uses two of your 200.
Every month
The count starts again on the 1st of each month, and your list shows how many pages you have used.
At 200
A document that would take you past 200 waits unread until the 1st, or until you ask for more.

Data Feed AI, answered.
Is it hard to set up?+
No. There's no feed or template to build for each supplier. Leadout connects your Simpro with your own API key and gives you your Data Feed AI address, and the first invoice you send is read.
Do I need Simpro?+
Yes. Data Feed AI writes into your Simpro through your own API key, so you need Simpro with API access.
Is this Simpro's Data Feed?+
No. Data Feed AI is made by Leadout and isn't made or endorsed by Simpro. It works with your Simpro through Simpro's API.
Does it work with any supplier?+
Yes. There's no template to set up. It reads the layout in front of it, from the first invoice.
Can suppliers email invoices straight to it?+
Yes. Give them your Data Feed AI address, or forward their emails to it. Every PDF or photo attached becomes its own document to check and approve.
What happens if the PO doesn't exist?+
Type the job number and it makes the purchase order, adds the lines and enters the receipt.
Can I send several invoices at once?+
Yes. Attach several to one email, or upload up to 20 at a time. Each one becomes its own document.
What if something's wrong?+
It flags it in red before you approve, and you can fix the match on the page. Nothing is written until a person approves.
Who reads my documents?+
Anthropic's Claude AI reads each one to pull out the details. Your documents and Simpro data aren't used to train AI.
