ServiceM8 + n8n

ServiceM8 and n8n, set up properly.

ServiceM8 has its own n8n node. It can start a workflow when a quote is accepted, a form comes in or an invoice is paid, then create jobs, add notes and send texts. ServiceM8's support connects it but doesn't build the workflows. A partner does. We're a ServiceM8 partner.

What the node can do

Something happens in ServiceM8. Something else follows.

From ServiceM8's own n8n guide: triggers on quotes, jobs, invoices, forms, the inbox and staff on site, and actions that act on jobs, clients and messages.

Triggers

Quotes and jobs

Quote sent or accepted, new job, job queued, status changed, job completed, badge added or removed.

Triggers

Money, forms and messages

Invoice sent, full payment received, form response submitted, review submitted, new message in the inbox.

Triggers

Staff on the road

Arrived at a job site, left a job site, started or ended a shift, photo or video attached.

Actions

Jobs

Create a job, or create one from a template. Add a note, queue it, update it, look it up.

Actions

Clients and search

Get a client, get a list of clients, search everything or one type of record.

Actions

Email and text

Send an email or a text message from ServiceM8.

And n8n connects ServiceM8 to hundreds of other apps, from your CRM and accounts to AI models, so a workflow doesn't have to stop at ServiceM8.

Three to build first

Where n8n and ServiceM8 pay first.

Each one starts on your website or in ServiceM8, and ends with work moving instead of waiting.

01

Every enquiry becomes a job

WhenSomeone fills in the form on your website.

  1. A ServiceM8 job is created from the right template, with their details
  2. They get a text from ServiceM8 to say you have it
  3. The lead lands in your CRM, and the office sees the job in the queue

ResultNobody retypes it, and the customer hears back straight away, day or night.

02

Accepted quotes never sit

WhenA customer accepts a quote in ServiceM8.

  1. The job is queued for scheduling
  2. The customer gets a confirmation of what happens next
  3. The office is told who accepted, and for what

ResultThe job is in the schedule before the customer starts wondering whether you got it.

03

AI sorts the inbox

WhenA message lands in your ServiceM8 inbox.

  1. AI reads it and sorts it: new work, an existing job, a complaint, or noise
  2. New work becomes a job; anything else is noted on the job it belongs to
  3. A reply is drafted for the office to check and send

ResultThe office starts the day with the inbox already sorted.

Also built often

Paid, then thanked

Full payment received sends a thank-you, and a review request to customers who have agreed to hear from you.

Forms that go somewhere

A completed form emails the certificate or report to the customer, or creates the follow-up job it calls for.

Job notes written up

The techs' notes and photos turned into a clear completion summary, added to the job for the office to use.

Built properly

The parts a quick tutorial skips.

  1. 01

    The least access that works

Read-only API keys for workflows that only read; full access only where a workflow writes. One key per workflow, named, so the job diary shows exactly what did what.

  2. 02

    Runs only when it should

Triggers and filters set so a workflow fires on the jobs it is meant for, which keeps n8n usage, and cost, down.

  3. 03

    Someone hears when it breaks

Every workflow has error handling and an alert, so a failed run gets noticed instead of quietly dropping work.

  4. 04

    Yours, and written down

Workflows live in your n8n account, with your keys. Each one is named, documented and handed over.

Already on Zapier or Make? ServiceM8 works with those too, and if what you have does the job, we'll say so. n8n earns its place with longer workflows and AI steps in the middle.

Safe by design

You approve. AI earns its way in.

Every build starts small and read-only, and gets write access one step at a time.

Dry run first

Every tool shows what it would change, and changes nothing until a person says yes.

You approve what matters

Quotes, refunds, anything sent under your name: a person signs off before it goes.

Customers know it's AI

Chat and voice agents say they are AI, offer a person, and announce recording before a call is recorded.

Your data stays yours

It lives in your own Simpro, ServiceM8, CRM and AI accounts. Nothing is copied into a system we own.

Built to local rules

Call-recording consent, the Spam Act for texts and email, the Do Not Call Register for AI voices, and no AI-written reviews.

Handed over properly

Every build ends with an AI policy and a register of the AI tools you use, with one named owner.

Questions

ServiceM8 and n8n questions.

Does ServiceM8 support n8n?

Yes. ServiceM8 has its own n8n node, and its support covers connecting it. Designing and fixing workflows is outside ServiceM8 support, which points you to a ServiceM8 partner for that.

n8n Cloud or self-hosted?

ServiceM8 works with both. n8n Cloud is the simplest start. Self-hosting suits businesses that want the workflows and data on a server they control.

Can it text our customers?

Yes, the node sends texts and emails through ServiceM8. Marketing messages only go to customers who have agreed to them, under the Spam Act.

Who owns the workflows?

You do. They run in your n8n account with your ServiceM8 keys, and you get the documentation.

What does it cost?

The set-up is quoted before it starts. Your n8n subscription, or your own server, is yours.
